Welcome to Coverflex! Your journey begins with our onboarding process: this article will explain, step by step, how to register your company on our platform.
Invitation Email
This is the first step, you will receive an invitation email within 24 hours of signing the contract with Coverflex. The invitation email expires after 48 hours, so make sure to click the link and start the onboarding process within this timeframe. If the invitation doesn't work, don't worry, contact us via chat or email at aiuto@coverflex.com, and we will send you a new link.
After clicking the link, you will be asked to create a password. Make sure to meet all the required parameters: minimum length of 8 characters, at least one uppercase and one lowercase letter, at least one number or special character.
Company Name and Shipping Address
In the next step, you will choose the company name you want on the Coverflex Voucher Card: the maximum number of characters is 19, so you may need to "cut" your company name. Then, you will be asked whether to ship the cards:
To the company: Cards will be sent as soon as you finish the onboarding process;
To employees' homes: Cards will be shipped when your employees have created their accounts and confirmed their address.
Shipping, in both cases, takes approximately 10 working days. The 4-digit PIN of the card is chosen directly by the employee via the app and can be changed at any time.
Company Information
At this point, you will need to confirm the VAT number and some information about your company, such as address, legal name, billing email, and SDI code. In the next step, you will be asked to fill in the details of the legal representative, including ID card number and country of residence. If your company has more than one legal representative, it is sufficient to enter the data of one of them. If your company has a shareholder who owns more than 25% of the shares, the data of the natural or legal person in question is also required. In the case of a legal entity: company name (name), date of creation (date of birth), VAT number (tax code), nationality.
Documents
Speaking of documents, it is necessary to upload the Chamber of Commerce Extract / Ordinary Extract of Capital Company or the VAT Registration Document based on your situation. This is needed to start the KYB process together with the data of the company's representative and any shareholders with more than 25% of the company.
Adding Employees
Now, it's time to add your employees' data. You can choose whether to enter the information manually or download our template to fill it out and upload it to the portal. If you choose to use the template, be careful of extra spaces before and after words, and make sure your employees' tax codes are correct. Additionally, know that it is not possible to leave fields blank, so all required data must be entered. Check the last column of the template: if you find "OK", the employee's row is complete, otherwise, something is missing.
Subscription and Payment
Final step: choose which employees you want to invite to Coverflex, selecting them from the list, then decide whether to pay the subscription monthly or annually. At this point, you can view the payment details and will be asked for the credit card information to make it.
Employee Invitation
Once the payment has been processed, you can invite your employees to sign up for the platform. They will receive an email with a link to the email address you provided.
